Entry Level ADMINISTRATIVE ASSISTANT DES is seeking a Centralized Administrative Assistant to act as an ambassador of client experience for an inspired wealth management firm in Irving. The ideal candidate will have at least 2 years of administrative experience, strong customer service, and communication skills, is tech-savvy, and can operate with tact and discretion. Understanding of 401ks and investment brokerage is a huge plus. This is a TEXAS-SIZED opportunity to join revolutionary wealth management firm with the potential for overtime and professional development. RESPONSIBILITIES o Answer phones on a multi-line phone and transfer to the appropriate destination, or take and relay messages.o Provide administrative support to the Director of Centralized Services and team by overseeing client files, addressing client inquiries, coordinating client events, etc.o Support Regional Offices by maintaining calendars, including the scheduling of client appointments and business meetings.o Manage Salesforce database, updating contacts to ensure they are current and accurate.o Route and distribute incoming mail and prepare outgoing mail, email, and memos.o Facilitate the sending of Client Appreciation gifts or holiday cards.o Organize, coordinate and book travel as needed for Advisors.o Provide basic administrative assistance, which may include: data entry, copying, filing, and recordkeeping.o Manage time effectively and demonstrate a punctual and professional demeanor. REQUIREMENTS o High School Diploma; Associate's Degree preferred.o At least 2 years of administrative / receptionist support experience.o Excellent MS Office Suite (Word, Excel, Outlook, PowerPoint) skills.o Some knowledge of the financial industry is preferred.o Prior experience with Google Apps and Salesforce is a plus.o Strong written, verbal, and interpersonal communication skills with excellent phone etiquette.o Effective time management and organizational skills with a high level of attention to detail.o Able to multi-task in a fast-paced environment and to adapt easily to shifting job tasks.o Able to work independently, identifying opportunities for improvement and assuming responsibility.o Able to work well under pressure and exercise sound judgment and discretion.
